Connecting your existing tools as a small business: replace nothing, link everything

The biggest barrier to new software is the migration. It is not needed: you connect the tools you already use and everything stays where it is.

You do not have to move anything

The main reason small companies drop out of new software is the migration. Your client data sits somewhere, your mail sits somewhere, your calendar sits somewhere. Moving all of that costs days you do not have.

At dGENIX you do not. You connect the tools you already use through your own account. The data stays where it is, GENI only gets access to what you allow.

That is the difference between a platform you have to move into and an assistant that comes to your house.

What most people connect first

Gmail. For most owners the inbox is the heaviest channel. Summarising, following up, drafting replies. See the Gmail skill.

Google Calendar. Scheduling, moving and preparing. Combined with your mail, GENI knows who you are meeting and about what. See the Calendar skill.

Google Drive. Your quotes, contracts and documents become context. GENI can search them and work with them without you digging through folders. See Drive.

WhatsApp Business. For anyone with client contact over the phone: answering questions, sending appointment reminders, following up. See WhatsApp Business.

Your accounting. Draft invoices, payment status and revenue, requestable in plain language through invoicing.

The connections you add later

Once the basics are in place, the rest becomes interesting.

Connection For whom What it does
Google Business Profile Local businesses Managing hours, posts and reviews
Search Console Anyone with a website Real search data instead of estimates
Google Sheets People working in lists Client lists, timesheets, exports
Slack or Notion Small teams Internal communication and documentation
HubSpot CRM users Updating contacts and deals
Stripe Online sales Revenue, subscriptions, failed payments

The full overview is on the integrations page.

How safe is this?

Fair question, because you are granting access to your mail and your client data. Three things determine the answer.

You grant permission, per tool. You log in to your own account and give dGENIX access. No more than needed, and you revoke it with one click.

Access is stored encrypted. The keys to your connections are encrypted and cannot be read back.

Irreversible actions ask for confirmation. Sending an email, booking a meeting, sending an invoice: you get asked first. What GENI may read it reads, what GENI does you approve.

More on how we handle data is on the security page.

What if your tool is not listed?

That happens, especially in niche industries. That is what MCP is for, an open standard that lets tools make themselves available to AI assistants.

In practice: the number of connectable tools grows without us having to build something separate for every tool. The explanation is in What is MCP and MCP connectors with your own tools.

Why connecting delivers more than it looks

A single tool with AI inside gives you a smarter version of that tool. An assistant with access to several tools gives you something else: connection.

An example. An email comes in from a client asking about a quote update. Without connections you type the answer. With connections GENI knows which quote it is, what was in it, when it went out, what was agreed in the last call and whether the client already had an invoice outstanding. That answer is better on substance, and it costs you a glance instead of fifteen minutes.

That connection compounds. The longer you work, the more context there is. See Workspace and memory.

Four questions owners always ask

Can I disconnect again? Yes, with one click. Access is revoked and nothing is retrieved anymore. Your data is still in your own account, because it was never moved out of it.

Can someone else reach my mail? No. A connection applies to your account. If you work with a small team, everyone connects their own accounts and the separation stays intact.

What if I handle client data? If you are an agency, accountant or care provider, you process other people's data. That should be documented in a data processing agreement, available on request. See also the agency page.

Is my data used to train AI? No. What you enter and what the assistant can reach is not used to train models.

Those questions are fair and they are exactly the questions you should be asking any supplier requesting access to your mail. A supplier who is vague about it does not deserve that access.

Where the servers sit counts too. For businesses handling client data, processing inside the European Union is not a detail but a condition. The full explanation of how we handle data is on the security page, so you can read it instead of having to take it on trust.

Getting started with connections

Do it in this order and you feel the effect immediately:

  • Day 1: Gmail and Calendar. This is ninety percent of the daily benefit.
  • Week 1: Drive, so your documents count as context.
  • Week 2: your client channel, usually WhatsApp Business.
  • Month 2: accounting and the measurement connections like Search Console.

Everything stays yours and everything can be disconnected with one click.
